First ask who can share a bathroom, who needs a separate bed and who is willing to cook, wash dishes or help clean. Enter the same dates and the full adult and child count for both options. Compare accommodation that can actually house everyone, rather than one hotel room against a whole house.

Evan Delshaw, Cottage Interior, June 25, 2015; CC BY 2.0, resized. An illustration of shared space, not a property recommended or inspected for this article.

Consider six people staying three nights as a hypothetical example. The number of hotel rooms depends on permitted occupancy, beds and who agrees to share; assign actual beds in a rental too. Add accommodation, mandatory taxes and fees, cleaning, service charges, parking, breakfast and necessary transport without counting included charges twice. Divide by the people actually sharing the cost and the nights. Record refundable deposits and card holds separately as cash-flow needs, and compare potential cancellation losses separately rather than adding an unpriced risk to the total.

Tax and municipal rules may define short stays differently. Under this CRA platform-accommodation rule, the taxable short-term definition covers continuous stays under one month costing over C$20 per night; who collects GST/HST depends on supplier and platform registration. This does not establish one tax rate for every Canadian booking. Compare the final payment breakdown and check whether local accommodation taxes and other charges are included.

“Sleeps six” does not mean six adult beds. Record bedrooms, bed types, sofa beds, bathrooms and stairs. Ask about the entrance, elevator and bathroom if anyone has mobility needs or a stroller. A kitchen photograph does not establish that cookware is adequate or that laundry is free and unrestricted. Plan when you will return each evening and where you will eat breakfast before paying extra for facilities you may never use.

Fill in these eight checks for the specific room and property. They are questions, not characteristics shared by every hotel or every rental. Ask the operator for missing answers; a starting price or star rating cannot supply them.

Check

Ask the hotel

Ask the entire rental

Agree as a group

Total cost

Tax-and-fee-inclusive quote for all rooms

Whole booking and mandatory charges

Budget, shares and card holds

Beds and bathrooms

Beds, occupancy and room arrangement

Bedrooms, sofa beds, bathrooms and stairs

Who shares and who needs privacy

Kitchen and laundry

In-room and shared facilities, charges

Equipment, hours and extra fees

Whether you will use them

Location and transport

Distances, parking and late return

Actual location, keys and return route

Driving, transit and walking limits

On-site support

Desk hours, cleaning and fault contact

Arrival, cleaning and emergency support

What immediate help is needed

Cancellation

Deadline and deductions for this rate

Terms for this booking and arrival date

Who pays for withdrawal or changes

Rules

Visitors, pets and quiet hours

Occupancy, gatherings and checkout duties

Whether everyone can comply

Legality and safety

Applicable operating and safety information

Required registration, licence and contact

Verify missing information before paying

Read the terms of your own booking. Vrbo’s guidance ties seasonal policies to the check-in date, preserves existing bookings’ original policy and uses the property’s time zone for refund deadlines. Save the deadline and refundable amounts, then compare the hotel rate you actually selected. Agree beforehand who covers the difference if a group member withdraws; an attractive per-person price is unreliable if it assumes people who ultimately do not travel.

Ask separately about overnight guests and visitors. Vrbo’s house rules cover occupancy, primary renter age, events, pets, children and smoking. Space for a group does not imply permission to hold a gathering. Hotels also require checking visitor, pet and quiet-hours policies. Confirm late arrival, keys, rubbish, checkout cleaning and emergency contact arrangements. Do not assume a hotel has a 24-hour desk or a rental has someone available to attend immediately.

Check the address-specific requirements. BC’s Act requires registration and listing numbers where applicable, with exceptions to its principal-residence rules; hotels and motels are outside this Act, not all regulation. Vancouver requires a principal residence and licence for home rentals under 90 days, plus applicable written landlord and strata approvals. A listing or number does not guarantee quality, accessibility or on-site safety.

Put the group’s two or three essential needs ahead of price: a private bathroom, late arrival or a step-free route may rule out an otherwise cheap option. For a distant property, plan the journey back after dinner and include transport, parking and manageable walking distance. See the specific Toronto accommodation-tax and registration differences; use the Canada travel collection when checking each stop of a multi-city trip.

Compare hotels and entire rentals in Canada using the whole group’s total cost, beds, transport, cancellation terms and local registration rules.
